Exhibitor Rules & Regulations

Castleberry Fairs & Festivals produces juried events celebrating unique, handmade arts, crafts, and specialty foods made in the USA. Exhibitors are expected to uphold the integrity, quality, and professional standards of our events.

Failure to comply may result in removal from the event without refund and may affect participation in future events.

ACCEPTANCE & RELEASE

1. By applying and participating, you agree to abide by all Castleberry Fairs & Festivals Rules & Regulations and all venue-specific requirements. Castleberry Fairs & Festivals reserves the right to enforce all rules at its discretion, and failure to comply may result in removal from the event without refund.

2. You accept full responsibility for your conduct and that of your staff and representatives, and booths may not be left unattended during show hours.

3. You are responsible for all property brought onto the premises.

4. You agree to hold harmless Castleberry Fairs & Festivals, its producers (Christopher and Teresa Mullen), agents, volunteers, and venue owners from any damages, losses, or injuries caused by theft, weather, fire, or other Acts of God.

5. If a show is canceled or hours adjusted due to circumstances beyond our control, no refunds will be issued.

MEDIA RELEASE

6. By participating, you grant Castleberry Fairs & Festivals the unrestricted right to photograph and use your business name, booth, products, displays, likeness, and voice for promotional purposes in any media, worldwide, in perpetuity, without compensation.

7. You waive the right to inspect or approve finished materials and release Castleberry Fairs & Festivals from claims arising from such use.

JURY & PRODUCT STANDARDS

8. All items must be handmade by the exhibitor.

9. No buy-sell, imports, resale, or mass-produced items permitted.

10. No MLMs, sales representatives, commercial vendors, financial services, home improvement, or vacation marketing booths.

11. No kits, “seconds,” clearance items, tumblers, insulated cups, 3D-printed items, or sublimation on blanks using stock or third-party artwork.

12. Sublimation is permitted only when the exhibitor creates the original design or imagery. Documentation may be required.

13. No additional product lines may be added after acceptance without written approval.

14. Booth sharing or subletting is prohibited unless approved in writing.

15. Exhibitors displaying non-compliant items may be required to remove those items immediately or may be asked to leave without refund.

APPLICATIONS & PAYMENT

16. Applications must include accurate images of work and booth display. Misrepresentation may result in removal from the event.

17. A $100 deposit is processed upon approval.

18. Remaining balances are processed no sooner than 45 days prior to the event. Applications submitted within 45 days will be charged in full upon approval.

19. All fees are non-refundable and non-transferable.

20. A $100 fee will be assessed for returned checks.

21. Booth locations are assigned at the discretion of Castleberry Fairs & Festivals and may be reassigned if necessary.

SPECIALTY FOOD EXHIBITORS

22. All specialty food items must be made by the seller.

23. Exhibitors must comply with all state and local health regulations.

24. Required documentation includes:

  • Certificate of Liability Insurance listing Castleberry Fairs & Festivals as Additional Insured
  • ServSafe (or equivalent) certification
  • Allergen Awareness certification
  • Proof products are made in an inspected facility

25. All products must be properly labeled and packaged.

26. Required licenses and permits must be obtained at the exhibitor’s expense.

27. Documentation must be available onsite for inspection.

28. Event-level food permits obtained by Castleberry Fairs do not replace individual exhibitor licensing requirements.

LIABILITY & INSURANCE

29. Exhibitors are responsible for their booth, merchandise, equipment, and personal property.

30. Castleberry Fairs & Festivals is not responsible for loss, theft, damage, injury, weather-related incidents, or equipment failure.

31. Exhibitors selling consumable items (food, candles, personal care, etc.) must provide proof of insurance.

BOOTH SETUP & DISPLAY

32. Booths may not be left unattended during show hours and must remain staffed at all times.

33. Exhibitors must provide their own tables, chairs, displays, and equipment. All tables must be covered to the floor on all sides; no visible storage is permitted.

34. Booth displays must remain within assigned space.

35. Indoor exhibitors selling exclusively off the aisle must pull displays in one (1) foot on aisle sides.

36. All items must be clearly priced.

37. No attachments to walls or venue structures.

38. No open flames are permitted. Cooking equipment is allowed only if approved and in full compliance with all applicable fire regulations.

39. Electrical cords must be heavy-duty and grounded (3-prong).

40. Generators must be safely operated, quiet, and positioned so they do not interfere with neighboring booths or the public.

Wi-Fi & Connectivity

41. Wi-Fi is not provided. Internet and cellular service are not guaranteed. Castleberry Fairs & Festivals is not responsible for connectivity or payment processing disruptions. Exhibitors must provide their own hotspot or offline payment solution.

 OUTDOOR BOOTHS

42. Exhibitors must provide a flame-retardant, wind-and rain-resistant canopy with sidewalls.

43. Canopies must be properly secured – minimum 40 lbs. of weight per leg. Additional weight is strongly recommended. 

44. No staking into pavement unless permitted by venue.

SETUP & BREAKDOWN

45. Setup must be completed prior to event opening.

46. Exhibitors not present 60 minutes before opening may forfeit space without refund.

47. Castleberry Fairs reserves the right to open up to 30 minutes early.

48. Absolutely no early breakdowns.

49. Dollies are not permitted during public show hours.

50. All booths must be removed within four (4) hours of final closing.

51. Failure to comply may result in penalties and exclusion from future events.

CONDUCT, CLEANLINESS & PARKING

52. No hawking or calling out to customers.

53. Smoking and vaping are prohibited within event areas.

54. Exhibitors are responsible for collecting and remitting applicable taxes.

55. Vehicles must be moved immediately after unloading to designated parking areas.

56. Trash must be compacted and disposed of properly. Failure to leave area clean will result in a $100 cleanup fee.

WEATHER, PETS & CANCELLATION

57. All events are held rain, snow, or shine. For outdoor events, exhibitors are responsible for being fully prepared to operate in outdoor conditions, including wind, rain, and uneven terrain.

58. No refunds will be issued due to weather or circumstances beyond our control.

59. Pets are not permitted at indoor events. Only ADA-defined service animals are allowed indoors.

60. At outdoor events, pets are permitted only if leashed, controlled, and non-disruptive. Exhibitors are responsible for any damage or disturbance caused by their animals.

61. Cancellations must be submitted in writing through Eventeny. All fees are non-refundable and non-transferable.
